Key Responsibilities
Recruitment & Team Member Lifecycle
- Own recruitment administration — post and close jobs in APS, coordinate the hiring workflow, and prepare offer and rejection letters; schedule and support interviews as needed.
- Administer onboarding (background checks, new-hire documentation, system setup, onboarding tasks) and offboarding (exit administration, final pay coordination, benefits termination, APS termination).
- Process status changes — compensation adjustments, reporting-structure updates, and position changes — and support annual updates to salaries and housing allowances.
Payroll & HR Systems
- Ensure all payroll is submitted accurately and in a timely manner.
- Administer APS system needs — user support, password resets, manager assignments, and troubleshooting — and serve as the point of contact for eSELFSERVE questions.
Compliance & Risk Management
- Own compliance with federal, state, and local employment laws — including FLSA, DOL, ADA, PWFA, the Pump Act, and state-specific regulations — across Vox's multi-state operations.
- Maintain I-9 / E-Verify compliance; manage unemployment and workers' compensation claims; keep compliance posters current; and oversee ACA / 1095 processing.
Leave & Accommodation Management
- Administer and track all leave types across states — FMLA, state family-leave programs, paid leave, STD, LTD, and Vox leaves.
- Coordinate ADA and PWFA reasonable accommodations, partnering with managers and ensuring appropriate documentation.
Benefits Administration
- Support open enrollment, qualifying life events, and ongoing benefit changes and deductions.
- Complete monthly benefit reconciliations; provide administrative support for the 403(b) plan; and maintain accurate records and vendor communication.
Policy, Handbook & Pay-Practice Guidance
- Create, revise, and maintain policies, the Team Member Handbook, and the Volunteer Guidebook, including distribution and signature tracking.
- Create, revise, and maintain job descriptions as requested.
- Provide interpretation and guidance on pay practices — FLSA/DOL, exempt/non-exempt determinations, overtime, travel time, and break compliance.
- Support compensation projects — PTO accrual updates, annual salary adjustments, and payband evaluation — including clergy-specific compensation structures such as housing allowances.
Employee Relations & Records
- Serve as a trusted point of contact for team-member questions, needs, and concerns.
- Guide managers on employee relations, corrective action, conflict de-escalation, and performance improvement plans.
- Administer the process for handling underperforming team members — documentation, PIPs, and terminations — with pastoral sensitivity and legal soundness.
- Maintain accurate personnel files in compliance with retention requirements.
Leadership, Projects & Reporting
- Provide best-practice recommendations to strengthen HR processes and reduce organizational risk, functioning as a 'mini HR manager' as the role matures.
- Lead HR reporting and special projects; create and implement SOPs; and support internal communications related to HR programs and policies.
- Mentor and provide guidance to HR-administrative staff or volunteers as needed.

Qualifications
- 3–7+ years of progressive HR experience; scope and level of responsibility scaled to the candidate's experience.
- Bachelor's degree in Human Resources, Business, or a related field — or equivalent experience.
- Working-to-advanced knowledge of employment law (FLSA, DOL, FMLA, ADA/PWFA) and multi-state compliance.
- Experience with policy creation, accommodations, and pay-practice guidance strongly preferred for the senior end of the range.
- Proficiency with HRIS / payroll systems (APS experience a plus) and Microsoft Office.
- PHR or SHRM-CP required; SHRM-SCP or SPHR preferred for the senior level.
- Experience supporting a faith-based or multi-campus organization a plus.
